01 - BACKGROUND

An integrated School Management Information System to manage student data, academics, and digital payments efficiently.

Pondok Pesantren Rooihatul Jannah Hidayatullah Sukoharjo (Pondok Roja) is an Islamic educational institution providing a modern, structured education system for female students at the junior and senior high school levels. The pesantren focuses on Qur’an memorization through the Tarbiyatul Muhafidzotil Qur’an (TMQ) program, integrating Islamic values based on the Qur’an and Sunnah with the national education curriculum, supported by qualified and experienced educators.

To support academic and operational management, a School Management Information System (SIMS) was implemented to manage student data and institutional processes in an integrated platform. The system covers student registration, academic management, reporting, and student financial management, including tuition payments and digital wallet features.

Through the SIMS dashboard, administrators can manage student records, academic data, and financial transactions efficiently. The system also provides dedicated digital wallet access for students and merchants, enabling transparent and secure payment processes. This SIMS improves administrative efficiency, enhances data accuracy, and provides better visibility and control over academic and financial operations within the pesantren.

02 - THE BRIEF

Updating and expanding SIMS modules to enhance e-wallet, merchant management, and transaction workflows.

From this brief, I worked on enhancing the existing School Management Information System (SIMS) for Pondok Roja by updating several modules and introducing new features to improve student financial management and transaction transparency.

Key enhancements were implemented in the Super Admin module, including updates to student data management, e-wallet top-up and withdrawal processes, email notifications, and improvements to the Transaction page. Additional refinements included the Error Withdrawal page, Wallet page filters, wallet detail labeling, wallet widgets, and the introduction of a Master Data Merchant module to ensure better data structure and control.

On the Merchant dashboard, several improvements were introduced, such as updates to the Unique Code system, transaction logging, purchase and sales email notifications, sales transaction history, combined wallet listing, purchase transaction history, enhanced Transaction pages, a Top-Up Guide page, and improved Merchant Settings.

These updates enhanced usability, increased transaction transparency, reduced errors in financial processes, and provided better control and visibility for administrators, merchants, and students within the SIMS ecosystem.

Discovery & Research

Based on the acceptance requirements provided by the business analyst, I conducted research to understand business goals, user needs, and system constraints. This research became the foundation for defining features, user flows, and design decisions to support the development of the application.

Design & Prototyping

Based on research findings, user interfaces were designed to address user needs and business requirements. Interactive prototypes were created to visualize user flows, validate features, and test usability, ensuring the design was ready for development and aligned with project goals.

After the initial development and launch, further improvements were made to address bugs, refine features, and enhance system stability based on testing and user feedback, ensuring the application met quality and performance standards.
